Position Overview: Job Duck is seeking an experienced Executive Assistant to collaborate closely with the CEO and serve as a key partner in managing his schedule, priorities, and commitments. Beyond standard administrative tasks, this role demands a proactive approach to handling competing priorities, tracking multiple initiatives, and ensuring that important tasks have clear ownership and deadlines. The ideal candidate will be confident enough to provide constructive feedback to the CEO when necessary, protect his time for high-value work, and keep initiatives moving without constant follow-up. This position is perfect for a strategic, highly organized professional who understands executive-level operations and can bring structure, accountability, and clarity to a fast-paced business. Monthly Compensation: 1,060 to 1,150 USD Key Responsibilities Include:
- Redirecting incoming inquiries to the appropriate person without requiring additional approval - Reviewing and managing calendar requests, declining, moving, or rescheduling those that conflict with protected CEO time - Monitoring the progress of CEO initiatives and ensuring that outstanding tasks continue to move forward - Establishing and enforcing deadlines for team deliverables when appropriate - Following up with team members on deliverables owed to the CEO - Tracking open commitments and ensuring each has a clearly identified owner and deadline - Managing the CEO’s calendar to align his time with established priorities and non-negotiable commitments - Identifying opportunities to streamline executive workflows, meeting schedules, accountability systems, and operational efficiency - Supporting the CEO in maintaining accountability across multiple concurrent initiatives - Monitoring the CEO’s commitments and proactively communicating potential conflicts, delays, or risks - Handling sensitive and confidential information with discretion - Approving routine expenses that fall within the CEO’s established approval limits, including payments to government or tax authorities and approved vendors - Allocating the CEO’s time within set parameters - Prioritizing new commitments and asking appropriate questions when necessary - Identifying tasks being handled by the CEO at the builder level and proactively suggesting delegation or reassignment - Monitoring the CEO’s workload and identifying opportunities to delegate, defer, or eliminate lower-value activities - Documenting decisions, commitments, owners, and deadlines from leadership meetings - Ensuring that initiatives decided by the CEO have clear ownership, deadlines, and visible progress - Drafting emails, communications, documents, and other materials on behalf of the CEO - Protecting the CEO’s time for high-value, strategic, and architect-level work - Respectfully challenging the CEO when necessary to ensure time is used effectively - Preparing for and coordinating the weekly CEO agenda meeting - Delivering a Monday dashboard briefing before the CEO’s first meeting - Managing and coordinating the CEO’s commitments, meetings, priorities, and deadlines
Requirements:
- Working Hours: 8:30 AM to 5:00 PM Eastern Time - Flexibility may occasionally be required for early or late hours in rare and exceptional circumstances - Reports directly to the CEO - Prior experience supporting a business owner, CEO, C-level executive, or senior executive is required - Experience operating at an executive level rather than providing administrative support to a department - Proven experience tracking projects and initiatives across multiple concurrent workstreams - Strong written English skills, including the ability to draft communications and documents on behalf of the CEO - High discretion and sound judgment when handling confidential information - Professional services or law firm experience is a plus - Experience managing or facilitating a weekly leadership meeting cadence is a plus - The role requires someone comfortable challenging the CEO respectfully and questioning whether certain activities represent the best use of his time - The successful candidate must be comfortable redirecting requests, establishing deadlines, following up on deliverables, and maintaining accountability across the organization - This position is not intended for candidates with limited experience in calendar and inbox management - Candidates whose primary approach is to simply complete tasks without evaluating priorities or pushing back when appropriate may not be a good fit
